Welcome to SmartKhata ("we", "our", or "us"). SmartKhata is a digital bookkeeping, credit ledger (Udhar Khata), and business transaction recording application designed to help small business owners, merchants, and individuals manage their daily ledger accounts, invoices, and payment reminders.

We respect your privacy and are committed to protecting your personal and financial bookkeeping information. This Privacy Policy explains how your information is collected, used, protected, and shared when you use the SmartKhata mobile application or web application.

2. Information We Collect

To provide our digital ledger and bookkeeping services, we may collect the following categories of information:

• Account Information: When you register, we collect your full name, email address, and encrypted password.
• Business & Ledger Records: Business name, business currency, customer/party names, mobile numbers, transaction amounts (credit/debit), dates, notes, and payment statuses entered by you.
• Invoice & Billing Data: Invoice items, quantities, rates, and customer billing addresses for invoice generation.
• Technical & Device Information: Operating system version, browser/WebView type, and log data necessary for crash reporting, security authentication, and service reliability.

3. How We Use Your Information

We use the collected information exclusively for the following purposes:

• To operate, maintain, and securely deliver the SmartKhata digital ledger service.
• To calculate customer balances, dues, and transaction histories accurately.
• To enable you to send payment reminders and invoice links via WhatsApp at your explicit request.
• To verify user authentication and protect your account from unauthorized access.
• To provide customer support and respond to inquiries sent to our support desk.

4. Data Security & Storage

We employ industry-standard administrative, technical, and physical security safeguards to protect your personal data:

• All data transmissions between your device and our servers are encrypted using Secure Sockets Layer / Transport Layer Security (SSL/TLS 256-bit encryption).
• Passwords are stored using cryptographic salted one-way hashes (BCrypt) and are never accessible in plain text.
• Each user's ledger data is completely isolated and strictly scoped to their own account. No other user can view or access your business records.

5. Third-Party Services & Data Sharing

We do NOT sell, rent, trade, or monetize your personal or business ledger data with any third parties or advertising brokers.

SmartKhata may interface with trusted third-party providers strictly to enable specific app functionality:

• WhatsApp: When you choose to send a payment reminder or statement, SmartKhata formats the text and redirects to the official WhatsApp application installed on your device. We do not transmit your WhatsApp credentials or chats to any external servers.
• Google Play Services: For app updates, performance diagnostics, and installation verification.

6. User Rights & Data Deletion Policy

In compliance with Google Play Developer Policies and global data privacy standards, you have full control over your data:

• Access & Export: You can download a complete backup of all your contacts, transactions, and invoices at any time via the Backup & Restore feature in JSON format.
• Account & Data Deletion: You have the right to request the permanent deletion of your account and all associated ledger records. You can request deletion at any time by emailing us at neemployment.org@gmail.com with the subject line "Data Deletion Request". Upon receiving your verified request, all your personal details, business profiles, and ledger entries will be permanently deleted from our active databases within 7 business days.

7. Children's Privacy

SmartKhata is a commercial bookkeeping and ledger tool intended for use by business owners and adults aged 18 and older. We do not knowingly collect personal information from children under the age of 13.

8. Changes to this Privacy Policy

We may periodically update our Privacy Policy to reflect changes in our legal obligations or application enhancements. Any revisions will be published on this page with an updated effective date. Continued use of SmartKhata following notification of changes constitutes acceptance of the updated policy.
